Consider using a FirstClass calendar. Instead of sending out printed memos and filling out request forms, you can use a group calendar in FirstClass to invite participants, reserve multimedia resources, and book locations. Here is a comparison of the conventional way you may book resources and how you would do it in FirstClass. [Image:92203_31828_0.png] [Image:9203_31709_1.png] Example Michael Green is vice president of Sales and Marketing at Husky Planes. Several times a year he showcases the company's newest products for his sales staff. His presentations usually consist of a promotional videotape from the Marketing department accompanied by a slide presentation. Michael schedules the presentation, invites members of the sales department, and books the boardroom and multimedia resources all at the same time. He doesn't have to leave his office to ensure that his presentation goes off without a hitch. Here are the steps he takes to handle the arrangements: STEP 1: Schedule presentation Michael schedules the presentation in the Sales Dept Calendar by creating a new event entitled New Product Promo. This is the new event he created. [Image:8102006_91145_0.png] STEP 2: Reserve venue Each resource or location Michael wishes to book has its own calendar. When he schedules an event, he simply enters the name of the resource calendar or location calendar on the Scheduling tab of the event he is booking. If there is a time conflict, it will show immediately and he can decide how to handle it. Michael reserves the company's mid-sized boardroom using the Scheduling tab. STEP 3: Reserve resources Michael also reserves a large screen television, a video cassette recorder, and a video projector. This is the Scheduling tab where he books the resources. [Image:882006_33623_2.png] When he entered his requests on the Resources tab for the New Products Promo event, a new event appeared in each item's calendar. Husky Planes' IT department monitors the resource and location calendars and ensures that requested equipment is ready for use when scheduled. This is the calendar for the video projector that John booked. [Image:882006_32721_0.png] STEP 4: Invite participants Michael invites the members of the sales department by entering their names on the Scheduling tab. From this screen, he sees who may have a time conflict. He adjusts the date and time as needed (the booked times for the resources and locations will also change automatically). The presentation will then appear in each of their personal calendars. This is the Scheduling tab where he invites participants. About logging in
Depending on how your administrator set up the server and your user account, you may be able to connect (log in) to a server as:

a registered user
Your administrator provided you with a personal user ID and password.
a user who can autoregister
Your administrator set up the server to allow  autoregistration.
When you autoregister, you supply the user ID and password that you want to use for future connections. The next time you log in, you do so as a registered user.
a guest user
You do not require a user ID or password. Guests are generally more limited in what they can do than registered users.

Logging in as a registered user
To log in as a registered user:
1       Double-click the FirstClass icon.

Choose FirstClass > FirstClass Client from the "start" menu.
2       Update the FirstClass Login form.
3       Click Login to open your FirstClass Desktop.



Autoregistering
To autoregister:
1       Double-click the FirstClass icon.

Choose FirstClass > FirstClass Client from the "start" menu.
2       Update the FirstClass Login form.
For "User ID" and "Password", use the values that you want to use to connect to this server in the future.
3       Click Login.
4       Update the Autoregistration form.
5       Click Register.
6       Record your user ID and password from the confirmation form for future use.
7       Click one of the following:
OK
Opens your FirstClass Desktop.
Save
Opens your FirstClass Desktop and saves your user ID and password in the settings file.
If you click Save, your user ID and password will be displayed on the FirstClass Login form the next time you choose this server. If you don't want this information displayed automatically for security reasons, click OK instead.



Logging in as a guest user
To log in as a guest user:
1       Double-click the FirstClass icon.

Choose FirstClass > FirstClass Client from the "start" menu.
2       Update the FirstClass Login form.
3       Click Login to open the guest account's FirstClass Desktop.



Logging in using an IMAP client
If you have a client that supports the IMAP4rev1 standard (Netscape IMAP client, or a Microsoft IMAP client such as Outlook Express), you can use this client to connect to a FirstClass server.

Connecting to multiple servers
If you have access to multiple servers, you can connect to more than one at the same time. You will see a Desktop for each server to which you are connected.
To connect to multiple servers:
1       Log in as you normally do, choosing the settings file for the first server at "Address" on the FirstClass Login form.
2       Choose Collaborate > Connect to reopen the FirstClass Login form.
3       Log in as you normally do, choosing the settings file for the second server at "Address".
4       Repeat as many times as required.



Logging in with multiple user IDs
If you have multiple user IDs, or can autoregister, you can open multiple connections to the same server with different user IDs. You will see a Desktop for each user ID.
To log in with multiple user IDs:
1       Log into the server as you normally do, using the first user ID and password with which you want to connect.
2       Choose Collaborate > Connect to reopen the FirstClass Login form.
3       Log in using the second user ID and password with which you want to connect.
4       Repeat as many times as required.



Logging in from multiple computers
Your administrator may allow you to log into the same server using the same user ID and password from multiple computers.
If you are connected multiple times using the same user ID, and your administrator has limited the length of time you can connect per day, be aware that the time spent by all connections is added together and counted against your daily time allotment.

If your first connection has been active for 30 minutes, and your second connection has been active for 15 minutes, you are considered to have used up 45 minutes of your daily time allotment.
To log in from multiple computers, simply log in as you normally do from each one.
